PROVISIONAL BOOKINGS:

  • Long lead reservations will be held on a provisional basis for a maximum of 72 hours
  • Peak season bookings are dependent on occupancy and may require immediate confirmation by you. Your CRO
    Consultant will communicate with you accordingly
  • Extensions on provisional bookings must be made in writing and must be approved by partnering Hotels & Lodges
    with a stipulated time frame
  • Bookings made less than 3 days prior to arrival will be held for a maximum of 24 hours from time of receiving the
  • Should the STM Travel Agency reservationist not hear from you within the stipulated time frame, your
    reservation may be released automatically
  • There is no guarantee of availability or the initial quoted rate if you request to reinstate your reservation

PRE-PAYMENT:

  • Long lead reservations require 100% pre-payment within 72 hours of receiving your quotation
  • Peak season reservations may require immediate payment of 100% to secure your booking. Your CRO Consultant will communicate with you accordingly
  • No booking will be held more than 72 hours without pre-payment, unless prior arrangements are madeand approved
  • Bookings made less than 3 days prior to arrival will be required to pay within 24hrs of booking to avoid
    automatic release of the booking
  • Agreed security to guarantee the reservation may be in the approved form of a cash payment, credit facility, voucher with credit facility or credit card payment
  • Rates quoted are rack rates , however Partnering Hotels, Lodges and Flights quote STM Travel on nett rates
  • Items not included in this quotation will be charged for in addition
  • Pre-payments must clear in the property’s bank account prior to arrival
  • A minimum 20% non-refundable deposit is required for group bookings of 5 rooms and more based on lead
    time to your arrival date. Short lead and peak season bookings may differ, your CRO Consultant will
    communicate the amount required and payment time frame.

ADDITIONAL COSTS:

  • Levies from partnering Hotels and lodges per guest per stay are applicable where necessary
  • All drinks and items of a personal nature
  • Items not included in this quotation will be charged for in addition. Inclusive of but not limited to;
    beverages, telephone calls, room service, activities, laundry, etc.
  • Additional costs needs to be settled at the property prior to departure

PLEASE NOTE:

  • Please note check in time will vary with each hotel and lodge, early check in can be arranged prior to travel date.
  • Check out time is 10h30 – 11h00 on the day of departure unless stated otherwise.
  • Late departures, subject to availability and may be charged extra
  • We kindly request that these late departure rooms are communicated with Hotel and lodges
  • Rates are subject to change without prior notification
  • The hotel and lodge reserves the right to restrict one night weekend or peak period bookings
  • The daily programme differs per season, please ensure that you request this information upon check in

CANCELLATION FEES:
Cancellation policy:

  • 60-30 days or more prior to arrival 50% cancellation fees.
  • 29-15 days prior to arrival 75% cancellation fees.
  • 14-01/ No Show days prior to arrival 100% cancellation fees.
  • Group and event bookings will have an additional policy applied, a minimum 20% non-refundable deposit is required for group bookings of 5 rooms and more
    The guest is responsible to manage the reservation made. The guest’s payment agreement with STM Travel applies
    to this booking. Failure to cancel a reservation (both provisional and guaranteed) will result in the relevant cancellation
    fees applied. This booking does not cancel automatically if not released by the guest.
